OSD Digital Resource Procedures

The Olympia School District is committed to ensuring that digital resources align with educational goals and student outcomes, comply with legal and technical requirements, and uphold sound financial stewardship. This commitment includes supporting best teaching and learning practices, aligning with the district's vision, mission, and goals, promoting equitable access for all students, complying with Federal and State laws (such as FERPA, AP1584, and data privacy), and ensuring long-term feasibility and financial sustainability. All digital resources must align with the instructional goals and objectives of the district, and prior to approval, they will be evaluated for educational applicability, appropriateness, and legal compliance with state and federal laws, as well as compatibility with individual devices and the entire OSD computer network.

 To submit a request, please complete the following steps:

  1. Identification: A teacher or staff member identifies a suitable digital technology for purchase or works with the Teaching and Learning department or TOSAs to locate appropriate technology based on instructional needs
  2. Request Submission: The requester submits a Digital Resource Request to the Technology department for review.
    1. Requesters are encouraged to use this guide to make an initial evaluation of the resource in regards to the privacy policy, accessibility, presence of advertising, and AI/machine learning.
    2. If there is a cost associated with this resource, please be sure to include a budget code in your request.
  3. Review Process: The digital resources team will review requests on a bi-monthly basis.
  4. Notification: The requester will be notified of the status of their request.

Digital resources will be reviewed annually to ensure relevance, compliance, and effectiveness. As educational needs and technologies evolve, these reviews help confirm that resources align with current instructional goals and adhere to changing legal and data privacy regulations. They also facilitate performance assessments, enabling the district to identify areas for improvement and ensure that expenditures remain within budget and justified by actual usage and impact. Overall, annual reviews empower the Olympia School District to make informed, strategic decisions that enhance educational outcomes while maintaining fiscal responsibility.
