October 2008 Minutes
Present: President Richenda Richardson, Treasurer Dori Mitchell, Faculty Rep. Michelle Anderson, Brenda Howe, Deb Steele, Debra Miles, Cynthia Wolfe, Cynthia Sanderson, Sally Marsh and Randy Johnson.Visitor/New Member: Richenda introduced Sally Marsh as a visitor and possible new member.
Meeting Minutes: Minutes from the September meeting were reviewed and approved.
Treasurer’s Report: Dori provided the Treasurer’s Report dated 9/31/ 2008 and the Olympia Federal checking account reconciliation as-of 10/15/2008, together with year-to-date fundraising activities (pavers and direct donations).
As agreed at the last meeting, Dori withdrew $50,000 from the Charles Schwab account and purchased a 13-month CD at Venture Bank which pays 4.5%. In light of recent market down-turns, this proved to be a very wise move. Funds remaining include $7,030.48 in Oly Fed checking, and $19,026.25 in Charles Schwab, most of which (over $13,000) is in cash. The Stephen Barclay Smith account at Smith Barney had $24,937.27 with a liability of $1,000 for its 2008 scholarship.
Scholarships remaining to be paid included $5,000 in CHS scholarships and $2,500 custodial scholarships.
Upon motion made and seconded, the Treasurer’s Report was approved.
Fundraisers:
See’s Candy: Deb Steel provided the 2008 See’s order forms. Please note the forms have changed, and we make more money from the candy on the form titled “Winter Fundraiser.” Deb also recommended using email to solicit candy, although a cover letter for mailing forms is provided. Deadline for getting candy before Thanksgiving is November 13th and the regular deadline is around December 1. Review Deb’s letter for more information.
Cynthia Wolfe reported that Top Foods may not be available due to their remodeling. She will continue to follow-up with Safeway as a fall-back, and Albertsons was also suggested.
Upon Deb’s suggestion, she, Cynthia and Debra Miles will decide how much candy, and what sizes to order, as the Top Foods situation becomes more definite. Deb also urged all Directors to personally sell candy this year, which would increase sales tremendously. Again, think email to make it easy!
Pavers: A few paver orders have come in and the schedule for upcoming concerts and plays was reviewed. Debra Miles also got pricing on having full color fliers printed, which is $335 for 500 full size, which, when cut in half yields 1000 5x7 fliers.
Brenda has also scheduled an advertising photo shoot with a number of cheerleaders at the Cougar Court for Friday to use in paver promotional materials.
Michelle noted that the Paver table set-up material is located in the school office, and for anyone volunteering to set up a table for a function, Michelle or one of the custodians can access it.
Father/Daughter Dances: Cori Mayes (mayesdc@comcast.net) of the PO is the person to contact to volunteer. The dates are: Father/Daughter Dances, January 31 and February 7, 2009; and the Palapalooza, March 7, 2009.
Communications: Randy reported that the insert for the October newsletter has been delivered to the school office. Also, Michelle says the website is updated with current minutes and the new paver form, and she will ask Scott Leduc about adding “Foundation” as a search word on the website.
Cynthia Sanderson will also contact Peter Rex about putting a direct appeal piece in the School District’s newsletter.
Michelle also read a letter from Jenny Morgan reporting good improvement in receiving status of enrollment verifications since the deadline for claiming scholarships was imposed (see attached letter).
